Operation of the new calculator in respect to the taking of 'Part Payments' - usually (but not limited to the processing of 'Seasonal Bookings)

Hi Folks!

It is a pleasure to present this new feature, it has been an exceptionally long haul with the adjustment or creation of over 6000 lines of code necessary, we can now move on to some of the more simpler adjustments and products that you have asked for - more about those later.

Firstly! and importantly, it is advisable that you do an extra backup before starting with the install of this upgrade.

Installation of the upgrade:
1. Close the Park IT program.

2. Click on this link and choose 'save', save the file to any area of your hard drive. It is a good idea to create a folder on your C: drive called Park IT downloads to store these upgrades in.

3. At the end of the download choose 'open' and this self extracting dialog box will appear:

4. Choose 'Unzip' - when completed choose 'OK' then 'Close' - the program is now updated.

5. Open Park IT and choose your 'Training' database to view the new operation.

Taking a part payment:
The payment is made as if taking the full payment, e.g. If we are taking the initial payment on a seasonal booking then simply right click on the client strip and choose 'Receive Payment'

From this point you have a couple of different directions to go, depending how you set up your seasonal booking in the first place - did you use the 'Bulk Tariff feature?

Kozy Rest - fill the calculator with 200 days to arrive at your full seasonal price.
Rosepoint and Pioneer - I think you both use the 'Bulk Tariff' and therefore you will get this dialog:

If so, just choose 'Yes'

You will now be at the calculator stage where you can add 'extra charges' if you wish. The calculator is showing that you will be receiving the 'Full Payment - click 'OK'

Next is the tender dialog

To receive a part payment simply change the 'Amount Tendered' to the amount of the payment - say $300

Click 'OK' and your done. Now have a look at the 'Account Summary' - Right click on the client strip and choose 'Reservation Details' you'll see that the part payment has been accepted and the outstanding balance nominated.

The next time you receive a payment on this account - just right click and choose 'Receive Payment' you will see the previously outstanding amount presented at the top. If you are making another part payment or full payment on this amount simply select it and continue.

Add any extra charges and continue.

Note: The booking strip will remain 'Yellow' until the full payment is received.
All charges that are made using the 'Account' button will also appear on the payment calculator with a 'checkbox' so that you can nominate what payments are being made.

The taking of part payments and the processing of seasonal clients is as fast as the normal process of tourist bookings because the process is the same, you no longer have to use the 'Raise Invoice' feature.

I will be in contact with you all soon to establish that you are able to use this new feature without fuss.

We are now moving on to other areas:

  1. Ability to print mailing labels directly from the program.
  2. Add a 'Check Number' field
  3. Add Clerk ID code
  4. A space for additional names and birth dates
  5. A space to record a club affiliation

After these additions are made, you guys will be into your season and in an ideal position to advise us on the next steps to take. We are committed to making Park IT a true representation of the wants and needs of the Campground owner and we do appreciate your help and patience.

PS: An additional feature was necessary in the building of the new calculator. You may see a dialog box come up called "Match Accounts' this will eventually cease to appear and is only necessary to deal with some existing transactions that may have taken place. If you see it and you have changed something, it will only be saved if you hit the check button to save the changesjust click onto the 'check' button at the top of the dialog then X-out and continue.
